The District Committee has put together these activities to make your exchange the best
year of your life, so far. Please pay careful attention to this calendar. Other social events
may be added.
 
Inbounds need to keep Codi Wimmer (via e-mail)  fully aware of your address, telephone
number, and e-mail address.  Outbounds need to keep Francis Labayen aware of your
address, telephone number and e-mail address. 
 
Inbounds and Outbounds: your attendance is expected at most events and absolutely
required at a few specific events (see below). District Chairperson Julia Mullikin
must approve all absences from expected events or required events. Before
most events, a letter or e-mail notice will be sent out giving additional information such
as needed clothing, travel arrangements, items to bring, and any changes in time,
location, etc. Note that all required events are all prepaid and students are
pre-registered. Optional events may have an additional cost associated with the activity.
Contact your District Committee if you have any questions.
Please also arrange your transportation at least 5 days before each event. 
Do not wait until the last minute.
 

Note: Even though you are required or expected to attend most events, please RSVP.  
RSVP means call or e-mail and inform the contact person that you are coming or not
coming.  It is the only way we know that you are receiving the information about events
or how many are coming if your family is invited.  It also assures us that you have a ride
or helps us arrange your transportation. 
 



Welcome to America Picnic (Sun. Aug. 23, 2009 (picnic, family fun)

Where: East Pavillion-Frontier Sports Complex, Naperville. (From I-88 take Route  59 south
to 95th St; left on 95th;right on Book Road, right on Conan-Doyle. From I-55 go north on
Weber Rd., go north on Weber: left on Hassert Blvd: right on Book Rd: left on Conan Doyle)
Use parking lot next to covered pavilion.

Fall Inbound Orientation (Friday, Aug. 28-Sunday, Aug. 30, 2009)   
Who:  Inbounds                                                                                    
Attendance:  REQUIRED
Where: Week-end retreat in Michigan at Chuck Snyder*s Michigan home (we will
             transport you to Michigan)
Where to meet:  Oaks Hotel, 300 S. Frontage, Burr Ridge, IL 60527 (Southwest corner
of I-55 & County Line Rd).  (Follow I-55 to County Line Road South (Exit 276A). The first
street light will be Frontage road, turn RIGHT.  Follow Frontage road for less than half
mile to The Oaks Hotel & Conference Center.)
Time:  meet at 6:30 p.m. on Friday, Aug. 28th  (eat supper before you come)  We have a
           2-hour
drive to Michigan. Pick-up at hotel at 5 p.m. on Sunday, Aug. 30th

Communication is an important part of ensuring that the exchange year goes well. The Inbound
students and outbound students will need to have an e-mail account that is accessible and to
check it on a regular basis. A ※Hotmail§ account can serve this purpose as it is accessible
through any internet provider.
 
Please note District 6450 RYE Overnight and Out of District Travel Policies:
1)  Any overnight arrangements must be approved by the host parent, YEO, and District Inbound
     Coordinator/District Chair
2)  Prior to Inbound students traveling out of district with host families or Rotarians, their travel
     plans must be registered and approved by the YEO/Club and registered with the
     District Inbound Coordinator / District Chair
.
It is extremely important to obtain the
     biological parent*s permission for all plane travel and if the student will travel
     anywhere outside the USA.
  A student may not at any time travel in a private plane. 
     Forms are available to document this communication or an e-mail message with the
     approvals and information may be utilized.
3)  You may go to Chicago for the day, but you may not spend the night without receiving prior
     permission from Kim, Codi, Linda, or Julia. 
 
Changing Families:  A student can not change families until Codi Wimmer gives you a
final approval.  All paperwork needs to be cleared and host families must receive an
orientation by a district committee member.    The State Department data base must
be kept accurate or the student*s exchange or possible return to the USA at a later
date could be in jeopardy.
