Helpful Hints for Successful Grant Applications and Completion

Plan Ahead – The sooner your Club can get a project in mind for this Rotary year, the greater likelihood you will have of securing funds from your Club, District, or The Rotary Foundation.

Engage Rotarians – Within your Club, in our District, and for international projects work closely with those in your matching grant partnering Club. Your Club and your partnering Clubs must each designate three Rotarians to be actively involved in the project.

Be Prepared and Designate Rotarians for Paperwork – There are really three components to the paperwork:
1) completing and submitting the grant application,
2) upon approval by TRF for matching grants, completing Rotary Club agreements and financial information for the grant
3) completing the grant reports and retain receipts for reporting in the designated time frames. Incomplete or missing reports result in matching grant applications by TRF until paperwork on all grants is current.

Promote Rotary – In your projects and in your written and verbal communications, use the opportunity to promote Rotary and its mission and goals to reach out in peace and understanding to all nations throughout the world.

Celebrate – Celebrate the benefits you have brought to those in need and the opportunity to work with Rotarians in and outside of your Club in fulfilling the Rotary Motto of “Service Above Self.”

Complete the Paperwork – It is important to complete the grant paperwork within the specified time frame. Please keep copies of all receipts for final paperwork.

While a District Grants Training Seminar was held in July 2007, the next opportunity for more in-depth discussion on grants will occur at the District 6450 Foundation Seminar on November 10, 2007. Please refer to the District Foundation web pages or the District 6450 Newsletter for registration information.

Committee Meetings and Application Process
Meeting Dates and Locations. The Committee has established several meeting dates but will have more or less depending upon availability of funds available. The meeting dates for the remaining of the Rotary 2007-2008 year are:
- Saturday, October 6th Meeting from 9 to Noon
- Saturday, November 17th Meeting from 9 to Noon
- Saturday, December 15th Meeting from 9 to Noon
- Saturday, January 26th Meeting from 9 to Noon
- Saturday, February 9th Meeting from 9 to Noon
- Saturday, March 15th Meeting from 9 to Noon
All meetings will be held at Pat Merryweather’s home. Each applicant will be asked to present their project to the committee and will be allocated 15 minutes to highlight project benefits, project description, Rotarian participation, and project funding and to respond to the Committee questions. The Chair will work closely with each applicant to determine presentation time and any special presentation needs (ie. Computer and projector).
Applications. In order that the Committee may have sufficient time to review your application and identify any issues to be resolved before the full Committee meeting. Applicants must have their completed grant application and 13 copies to the Chair 10 days prior to the meeting so that the Chair can distribute to Committee members. Applications not received by the dates listed below will be held for the next Grant Committee meeting:
- Saturday, September 29th for Saturday, October 6th Meeting
- Wednesday, November 7th for Saturday, November 17th Meeting
- Wednesday, December 5th for Saturday, December 15th Meeting
- Wednesday, January 16th for Saturday, January 26th Meeting
- Wednesday, January 30th for Saturday, February 9th Meeting
- Wednesday, March 5th for Saturday, March 15th Meeting

Matching Grant Funds
Funds Available- Effective With Matching Grants for 2007-2008. Each District 6450 Rotary Club can apply for up to $2,000 for Matching Grants (MG). If two clubs from our district are working together on a matching grant, then they can get up to $4,000.00; and three Clubs working together can get up to $6,000.00. The Clubs will have to match the district $1 for $1, and District Designated Funds (DDF) will be matched by The Rotary Foundation (TRF) $1 for $1.
Please remember that when submitting a matching grant, TRF only provides half the match for a Club donation – that is, for every $1.00 provided by a Rotary Club, TRF will match with $.50.
TRF Matching Grant Financing Changes. As TRF changed The Matching Grant application guidelines starting July 1, 2006; please make sure you are utilizing the new guidelines which allow only Matching Grants to be submitted in which TRF is providing matched funding for $5,000 or greater; require three members from each partnering Rotary Club to be designated as part of project team; and require a minimal contribution of $100 from the Host International Partner Rotary Club.
Examples - using a combination of Club and District Designated Funds to make sure the TRF grant would add up to $5,000. Please note there are a variety of ways to achieve the $5,000 in TRF grants – these are just examples to illustrate the matches available using Club and District funds and the advantages of Clubs working together for District Designated Funds.
EXAMPLE - ONE CLUB. One club could raise $7,000 and apply for $2,000 from the District Designated Funds and then be matched by the TRF for $5,500.
- TRF matches dollar for dollar each District Designated Fund (DDF). That is, $2,000 in DDF will result in $2,000 in TRF for a total of $4,000.
- TRF provides a match of $.50 for each dollar in Club funds. That is, $7,000 in Club funds will result in $3,500 in matching for a total of $10,500.
The total dollars raised would be $13,500
- $7,000 from a Rotary Club
- $3,500 in matching grant funds from TRF for Club Contribution
- $2,000 in District Designated Funds (DDF)
- $2,000 in matching grant funds from TRF from DDF Contribution
- $14,500 TOTAL
EXAMPLE - TWO CLUBS. Two Clubs could raise $5,000 and apply for $4,000 from the District Designated Funds and then be matched by the TRF for $6,500.
- TRF matches dollar for dollar each District Designated Fund (DDF). That is, $4,000 in DDF will result in $4,000 in TRF for a total of $8,000.
- TRF provides a match of $.50 for each dollar in Club funds. That is, $5,000 in Club funds will result in $2,500 in matching for a total of $7,500.
The total dollars raised would be $13,500
- $5,000 from Two Rotary Clubs
- $2,500 in matching grant funds from TRF for Club Contribution
- $4,000 in District Designated Funds
- $4,000 in matching grant funds from TRF for District Contribution
- $15,500 TOTAL

District Simplified Grants
District Simplified Grants (DSG) are in their fifth year. DSG projects will be matched $2 from the clubs with $1 from the District up to $1,500 per Club and up to $2,000.00 for two or more Clubs joining together. The grants can be used in your local community without an international partner, and for transportation grants this year.
